PURPOSE OF THE JOB:

The purpose of the job is to ensure corporate assets in accordance with the relevant Armscor procedures and in compliance with the Public Finance Management Act (PFMA) and the GRAP

CRITICAL PERFORMANCE AREAS:

  • Plan the asset audit with the Manager Service Desk and responsible Manager in Facility:
  • Execute the asset audit in accordance with the approved plan;
  • Ensure asset register is reviewed and updated with the confirmation from the audit exercise.
  • Do reconciliation of asset registers (ICT equipment, furniture);
  • Assist the Manager: Service Desk and Manager: Facilities in the execution of assets disposal after obtaining approval for writing off;
  • Recommend to the Manager: Service Desk assets to be disposed of;
  • Report on assets that could not be verified;
  • Perform auditing of Armscor assets in case of termination of employment, etc;
  • Update entries in the corporate assets register.
  • Do all the associated admin when the asset lists are returned (confirmation, transfer, etc);

QUALIFICATION

  • Grade 12
  • Certificate in inventory at NQF level 5 or equivalent will serve as an advantage

EXPERIENCE

  • 1 to 3 years working in IT stores or as a service desk intern.

KNOWLEDGE & FUNCTIONAL SKILLS

  • Knowledge IT stores and IT stores’ procedures.
  • Knowledge of IT hardware and components.
  • Knowledge of Assets management.

PURPOSE OF THE JOB

Provide a specialized product and process quality service to all stakeholders with the aim of enhancing and improving client service delivery.

CRITICAL PERFORMANCE AREAS

  • Evaluate product and service quality against set requirements during the incoming, in-process and final inspection phases of operations.
  • Perform monitoring and surveillance tasks as required.

QUALIFICATIONS

  • National Diploma in Electrical / Mechanical / Industrial / Metallurgical Engineering
  •  Quality Control/Assurance Techniques Certificate is an added advantage.

EXPERIENCE

PURPOSE OF THE JOB:

Responsible for all warehousing related functions such as stores management that includes health and safety and stock management in line with the Department of Defence Asset Management prescripts and DMD stock management procedure. CRITICAL PERFORMANCE AREAS:

  • Responsible for the maintenance of a compliant asset/stock database of all incoming, outgoing and stock on hand as well as the Information Technology and Communication equipment at the DC.  
  • Implement and ensure compliance with security arrangements with the DOD depot, unit and the security guards as to ensure that the security at the warehouse is executed in terms of the contract with the security company as well as inspect the warehouse security daily patrol checklist.
  • Execute all stock management activities including pre disposal (milestone 2 to 4) assistance that the warehouse provides to the Unit or Depot to ensure compliance with DOD and DMD stock management procedures.
  • As Supervisor, the incumbent is responsible for management reporting, daily operational requirements of the warehouse which includes human relations, training, service requests, written communications, Issue Voucher (IV) & Receipt voucher (RV) records, compliance controls and compliance with the Armscor Master Record Structure.
  • Liaise with unit officer commanders, senior DOD personal as well as internal and external clients in the execution of the warehouse and stock management function and in support of DMD objectives.
  • Ensure that all Disposal Centre activities and employees comply with SHEQ regulations.
  • Implement and monitor the Disposal Centre SHEQ plan and Ensure execution of all SHEQ plan activities.
  • Coordinate facilities/buildings defects and Ensure that all the work is completed by contractors in line with the prescribed requirements.
  • Participate in the DMD, DC and SHEQ meetings regarding operational and management issues.

  • Ensure the training and development of subordinates in line with the development contract.

QUALIFICATIONS:

  • Grade 12.
  • Diploma or certificate in Warehouse/Stores and Inventory Management. (Preferably a DOD qualification) CALMIS and OSIS Information Management Systems Competency Certificate.
  • Safety, Health, Environment and Quality (ISO) Competency Certificate/Qualification.
  • Forklift license.

EXPERIENCE:

  • 4-5 years’ experience.
  • Experience in DOD stores environment will be a recommendation.

PURPOSE OF THE JOB:

Provisioning of a complete cashbook and petty cash function by ensuring accurate allocation of receipt and payment transactions in compliance with accounting principles. Ensure proper control over property, plant and equipment and controlled items of the Armscor Group’s practices and procedures.

CRITICAL PERFORMANCE AREAS:

  • Capturing of creditors transactions, i.e. accurate matching of the purchase order to invoices, capturing of invoices to finance system. Including obtaining of invoice certification by authorised personnel and make payments within 30 days.
  • Capturing of commercial sales transactions in the financial systems, i.e. issuing sales quotations as per approved tariffs and invoicing clients as per Armscor policies/practices.
  • Management of debtors’ collection process in line with Armscor policies and procedures.
  • Capturing of inventory transactions in the finance systems, i.e. capturing counting results and conducting spot check during inventory count.
  • Capturing of the division fixed assets transactions in the finance system including addition of new assets, barcoding and verification and conducting annual assessment of asset useful life.
  • Support function to Manager: Finance in establishing a credit facility for new clients and increase of credit facility and reviews of credit facility within the division.
  • Prepare monthly reconciliations of assets, creditors, debtors, bank, petty cash, fleet card, loan account and conduct month end closure.
  • Verify that the tax invoice complies with the VAT Act especially in cases where the supplier is registered for VAT.
  • Process payments if invoices and supporting documents are correct; for approval by authorised signatories.
  • Responsibility for checking subsistence and travel (S & T) claims and petty cash forms and reimbursements.
  • Do cash flow planning for the day, report on daily cash flow requirements to Armscor Corporate Finance. Under guidance, responsible for moderately complex accounting activities relating to monitoring the flow of funds.
  • Correctly capture transactions to update other modules, e.g. Debtors, Creditors and General Ledger at month-end.
  • Reconcile petty cash balance, fuel fleet cards payments made and cash received to the approved float and replenish petty cash and fuel cards as and when necessary.
  • Capture bank statement transactions on Accpac.
  • Liaise with internal and external clients to handle queries and provide assistance and/or information.
  • Assist with insurance matters as required and perform ad hoc insurance activities.
  • Stand-in for colleagues as and when required.

  • Handling all building system alarms and reporting to the Manager: Physical Security
  • Updating all security-related registers in the building control centre
  • Managing the fleet and administrative duties including log sheets

Managing and handling protection officer during the shift, which entails:

  • Placing protection officers so that physical security is effectively enforced
  • Visiting protection officers on point duty ensure effective protection
  • Ensuring proper communication between protection officers

Performing administrative functions related to physical security, which entails:

  • Compiling the monthly shift roster and presenting it to the Manager: Physical Security
  • Completing the on-duty and shift-placement registers
  • Handling the leave of protection officers on his shift
  • Conducting daily performance measurement of security officers, with a monthly report to the Manager: Physical Security
  • Handling security registers in respect of the management of his shift.

QUALIFICATION

  • Grade 12
  • Grade A (PSIRA)
  • Security Programme.
  • Code B driving license (Advance Driving Course will be an added advantage)
  • The National Key Point will be an added advantage

  • 6 – 7 years’ experience in security/ protection services environment
  • Experience as a deputy shift leader/ Supervisor in a security environment

PURPOSE OF THE JOB:

To provide independent, objective audit function in support to the organisation to accomplish its objectives by bringing a systematic disciplined approach to evaluate and improve the effectiveness of risk management, control and governance processes.   

CRITICAL PERFORMANCE AREAS:

  • Draft an engagement letter to the auditee in accordance with the audit plan and submit for approval.
  • Prepare a Risk and Control Matrix (RACM).
  • Plan and prioritise own activities in accordance to allocated hours.
  • Prepare detailed risk based audit program.
  • Execute complex audit in accordance with risk based audit program to establish the adequacy of the controls and the compliance thereof.
  • Discuss findings with client up to Senior Management or Divisional Manager to validate the issues.
  • Prepare a detailed draft report addressing the findings, the root cause, effect and recommendations to rectify and submit to Manager or Senior Manager for review.
  • Incorporate Manager or Senior Manager’s comments on the draft report.
  • Provide the client with the draft report as well as the recommendations for the client to comment and indicate corrective actions.
  • Conduct special audit investigations as and when required by the organization.
  • Write progress and monthly reports to the Manager or Senior Manager.
  • Provide consulting and advising service to internal stakeholders on complex audit matters, as and when required.
  • May supervise and mentor fellow Internal Auditors at the junior levels.
  • Participate in ad hoc audit related activities as and when required.
  • Undertake and assist with management duties as required by your superiors.
