Research and Development Operations has a vacancy for a Financial Officer at Gerotek Test Facilities. Applications are invited from people who meet the qualification and experience requirements below:
PURPOSE OF THE JOB:
Provisioning of a complete cashbook and petty cash function by ensuring accurate allocation of receipt and payment transactions in compliance with accounting principles. Ensure proper control over property, plant and equipment and controlled items of the Armscor Group’s practices and procedures.
CRITICAL PERFORMANCE AREAS:
- Capturing of creditors transactions, i.e. accurate matching of the purchase order to invoices, capturing of invoices to finance system. Including obtaining of invoice certification by authorised personnel and make payments within 30 days.
- Capturing of commercial sales transactions in the financial systems, i.e. issuing sales quotations as per approved tariffs and invoicing clients as per Armscor policies/practices.
- Management of debtors’ collection process in line with Armscor policies and procedures.
- Capturing of inventory transactions in the finance systems, i.e. capturing counting results and conducting spot check during inventory count.
- Capturing of the division fixed assets transactions in the finance system including addition of new assets, barcoding and verification and conducting annual assessment of asset useful life.
- Support function to Manager: Finance in establishing a credit facility for new clients and increase of credit facility and reviews of credit facility within the division.
- Prepare monthly reconciliations of assets, creditors, debtors, bank, petty cash, fleet card, loan account and conduct month end closure.
- Verify that the tax invoice complies with the VAT Act especially in cases where the supplier is registered for VAT.
- Process payments if invoices and supporting documents are correct; for approval by authorised signatories.
- Responsibility for checking subsistence and travel (S & T) claims and petty cash forms and reimbursements.
- Do cash flow planning for the day, report on daily cash flow requirements to Armscor Corporate Finance. Under guidance, responsible for moderately complex accounting activities relating to monitoring the flow of funds.
- Correctly capture transactions to update other modules, e.g. Debtors, Creditors and General Ledger at month-end.
- Reconcile petty cash balance, fuel fleet cards payments made and cash received to the approved float and replenish petty cash and fuel cards as and when necessary.
- Capture bank statement transactions on Accpac.
- Liaise with internal and external clients to handle queries and provide assistance and/or information.
- Assist with insurance matters as required and perform ad hoc insurance activities.
- Stand-in for colleagues as and when required.
- Provide Internal and External auditors with documentation required and other queries.
- Capture loan account transactions on the Accpac System.
- Filing of petty cash re-imbursements, fleet card transactions and S & T documents.
- All related functional area documents are filled in a manner that will make it easy to retrieve them during audit.
QUALIFICATIONS:
- National Diploma in Accounting/Commerce
EXPERIENCE:
- 1-2 years’ experience in a finance related environment
SKILLS & KNOWLEDGE:
- Functional knowledge of relevant legislation (PFMA, VAT Act)
- Knowledge of financial systems (e.g. Accpac)
- Knowledge of cashbook processing
- Knowledge of bank and petty cash reconciliations
- Knowledge of the process for handling and replenishment of petty cash
